Membership

Membership Types

We offer two types of membership:

• Inclusive Days: Members can use the workspace for a set number of days each month (their "inclusive days") and may purchase "extra days" if needed. These members must book a desk through the booking system.

• Dedicated Desk: Members have exclusive access to their assigned desk without needing to book it. This desk is removed from the booking system so others cannot book it.

Changing or Cancelling Membership

You can change or cancel your membership at any time before the 28th of the month (26th for February). Changes take effect from the end of the month. We don't require a long notice period, but we also don't issue refunds for unused days.

Opening Hours

Members can book the workspace:

• 07:00 to 21:00

• 7 days per week

• Closed on Bank Holidays

A "day" of use refers to any visit during opening hours on a calendar day.

Facilities and Services

Primary Service

We provide members with a desk, monitor, power socket, and Wi-Fi connection. Members bring their own devices (eg. laptops) to work. Desks must be booked in advance (but can be booked to start immediately). We limit the total number of members to ensure there is enough capacity for everyone, but sometimes the desks may be fully booked, and this is considered normal operation of the workspace.

If we fail to provide the primary service, we will issue:

• Where the booking was part of a members’ inclusive days, we will credit that day back to the member.

• Where the booking was an “extra day”, we will issue a refund.

• Where the member has a dedicated desk, they will receive a credit note for disruptions lasting 2+ days, calculated as: (disruption days ÷ open days in month) × monthly fee.

Additional Services

Refreshments: We provide tea bags, kettle, coffee pods, and coffee machine. Fair use means consuming these refreshments within the workspace only, not taking them away.

Privacy Pods: Currently 2 pods are available. They must be booked before use at no extra charge. Maximum single booking is 2 hours. Fair use means not regularly exceeding 3 hours of pod use per day.

Printing: Colour A4 printer available. Fair use means not regularly exceeding 25 pages per month and never exceeding 50 pages per month. This includes taking blank paper from the printer.

Vehicle and Bike Parking: Members may park in the shared car park or cycle store areas at Springfield Mills. There is usually space available, but we cannot guarantee space availability and accept no responsibility for loss or damage to vehicles or cycles.

Not included

Meeting Room: Use of the meeting room at the nearby Loft Coffee Shop incurs extra charges and is not included in membership packages.

Mail and Package Handling: Members are not permitted to have parcels delivered to the workspace (delivery service is unreliable anyway).

Fair use

The fair use definitions given above are not exhaustive. If your activities disrupt other members or don't align with the intended use of the workspace, we may ask you to change your behaviour and/or terminate your membership.

Guest Policy

Members can bring occasional guests, to enable collaborative working, for example with clients or prospective clients. Guests may use the breakout area and access refreshments, but must be accompanied by a member at all times.

If guests need access to other services (desks, privacy pods, printing), the member will be charged for an "extra day" (this includes members with dedicated desk memberships). Guest days cannot count toward a member's "inclusive days" allowance.

Noise Policy

• Main Office Space: Calls/media must be played through headphones.

• Breakout Area: Calls/media may be played at a quiet volume.

• Privacy Pods: Calls/media may be played at normal volume.

Please be mindful of others working around you.

Privacy and Confidentiality

You must not share anything you see or overhear in the space without the express permission of the other person.

Internet Usage and IT Security

The members' Wi-Fi network is configured to isolate devices from each other, but please ensure any device you connect is up-to-date and follows manufacturer security recommendations.

Wi-Fi connection and disconnection times and data usage by device are monitored to track space usage (eg. to detect when a member has forgotten to check in).

Storage and Physical Security

Personal Belongings

Members must keep personal belongings with them and not leave anything in the space overnight. Anything left in the space will be disposed of, except for dedicated desk members who may leave items in their assigned drawers.

We accept no responsibility for loss or damage to your assets to the fullest extent permitted by law. We strongly recommend you arrange your own insurance, as our insurance does not cover your belongings.

Access Codes and Entry Systems

Members must not share building access codes, keys, or fobs, or allow entry to anyone they don't recognize.

If you choose to use fingerprint entry, we will store a digital record of your fingerprint, which will be deleted within 30 days of your membership ending (usually sooner).

Door access logs are monitored to track workspace usage.

CCTV Recording

CCTV (audio and video) operates 24/7 with recordings kept for up to 12 months. Video is reviewed only in case of an incident, and audio is only replayed if relevant. Recordings are not shared with third parties, except the CCTV cloud provider or following formal requests from police, courts, or insurers.

Damages and Repairs

Normal wear and tear is expected. If you notice something broken or heavily worn, please report it through the booking system, and we will repair or replace it.

If you damage anything, report it to us immediately. We may charge you for damage depending on the circumstances, and how proactively you report it to us, to minimise inconvenience and disruption to other members.

Limitation of Liability

We are not responsible for any business losses or interruptions you may experience while using our workspace. This includes lost profits, missed opportunities, data loss, business disruption, or similar. While we make every effort to provide a reliable work environment, we cannot guarantee uninterrupted access to the internet, building utilities, or other services beyond our direct control.

Termination of Membership

We reserve the right to terminate or suspend any membership at our discretion. While we strive to maintain a positive community, circumstances may arise that require us to end a membership relationship.

If we terminate your membership, you will receive a pro-rata refund for any unused portion of your current month's membership fee, minus any amount that you owe to us.

We may, at our discretion, temporarily suspend rather than terminate a membership while investigating concerns or addressing temporary issues. You will receive a pro-rata refund for any periods of suspension.

Our decision regarding termination or suspension is final, though we will always communicate our reasoning clearly.
